INTRODUCTION
‘BLACK IN
WHITE CAFE & BAR’ is a fast food café which is situated in Butwal,
which was establish in 2055. A fast food
café; is known as Quick service restaurant (QSR) within the industry itself, is a specific type of
café characterized by its fast food cuisine and by minimal table service Training plays a very
strategic role in supporting a business. Beside
this , it also helps to create working condition that encourage
continuous learning as that is required
for the company to understand the entire work system include relationship between customer and employers, employees and
employer, and company and suppliers
(among their works, their work units and the company). Employee development
is necessary component of a company’s
effort to improve quality, to meet the challenges of global competitions and social changes and to
incorporate technological advances and
change in work design.
When our
group member got survey about this café, we collected all the data with the
help of company’s owner MR. Netra Lal Bhandari.
According to him this café was established by their brothers who are no more
now, in that time they have only 10000 to start the café. He devoted his 25 year in this café that’s
why people believe and trust him, he is one
inspiration for all. while gathering the information about this café he
express some part of struggle which he
have face in that time n being faith on himself and being self-motivated
inspired
us a lot and we all know that struggle is the way of success. They firstly advertised their business nearby hospital,
banks etc. With the competing world they started re-design business policy.

INFORMATION SYSTEM
Information
system (IS) is a set of interrelated components that creates, process, stores,
retrieves and disseminates information to facilitate organizational decision
making process. We found the following
IS being used in BLACK IN WHITE CAFE & BAR.
1.
Attendance management system (AMS):
Attendance
management system is the act of managing attendance or presence in a work setting to minimized loss due to employee
downtime. Through attendance management
system document of entering time and going out time from organization
can be made. It is getting more
popularity in an organization where there are many employees, as it gives accurate timing of employees which is useful
for calculating total days of presence of
employees. In BLACK IN WHITE CAFE & BAR café AMS is checked up in
regular basis for employees. The
generated information is prepared in digital reporting format which is known as forms. So that they can calculate
their days of presence. The backup is
maintained in end of every month through database to recover the system.
“As backup we prepare paper attendance
of employees has been important to evaluate their presence as well as performance which was analyzed by MR.

Financial and Accounting Information System (FAIS):
To take
any decision in an organization finance plays a major role. So it is important
for every organization to properly
maintain its FAIS. Financial and Accounting Information System provides information related to
financial management and enables its user to make decisions easily to solve financial problem.
Further describing it can be also said that an
information system which tracks down the accounting reports as its input
the system which produces financial
reports.
BLACK IN
WHITE CAFE & BAR cafe has also maintained its FAIS properly. There were two people for maintaining FAIS. The
first person prepares accounting with the help
of Microsoft Office Excel and sends to Mr. Ramesh raj giri in digital
reporting format for further processing.
According to him he prepares all the financial statement annually for tax payment system. He is also responsible to
prepare financial statement monthly or on the
time when it is required for making decisions. After receiving softcopy
presentation from the first person he
does other processing through software like restaurant management software.
Data
Storage:
After
the retrieval of information from data the information is stored in computer
processed through restaurant management
system as it has become the important assets of cafe. And those stored information are shared with
management heads which can be used for taking
important decisions.
Output
Generation:
According
to Mr. Ramesh raj giri through the software he takes out balance sheet, income statement, profit and loss account, after
providing journal entries to software. When the
information is stored it’s easy to generate output in any format. BLACK
IN WHITE CAFE & BAR cafe generate
output in both format in paper format for maintaining backup and also in softcopy presentation for making
decision in meetings.

ABOUT SOFTWARES:
Microsoft
Office Excel:
Microsoft
Office Excel is the industry leading spreadsheet program developed by
Microsoft for windows, macOS, Android
and iOS. It features calculation, graphic tool, pivot tables, etc. BLACK IN WHITE CAFE & BAR café uses
Microsoft Office Excel for keeping
employees record.
Restaurant
management software system:
This system is designed to save time, to
increase your restaurants revenue and customers by making the process of
restaurant management easier. This is not only for restaurants, but is also applicable for bars, resorts, food parks, cafe etc. the most important
thing, so this system will help to analyze past
and present data of the restaurants, for future purposes.
Though the system is
made for restaurant but this software is implement in this café too.
This
system includes following features:
User and
role
The
system will have multiple users with assigned role. Role may be of admin,
manager, salesperson, and kitchen staff.
User can access the system as per their role, which means, salesperson cannot access the kitchen, admin
and others. Admin can create and edit user as
per need.
Table
Management
Admin can manage the table of the
cafe as they like. Table can be added and edit as per need of the cafe. Special features for this
table topic is that they can join table and disjoint table. And can change or
transfer the table if customer like to change the table after order.

Category
and Menu management
The cafe
can manage the food category and foods. The system has the main category and subcategories, to make the menu and navigation
easy. A cafe can add and edit the main
category and subcategories. Food can be added with name, price, code,
and background color for display, recipes and other things.
Stock
Management
Inventory
can be managed by this system; admin can check the inventory of the cafe. Inventory and the level can be set and admin
can get a notification while inventory
reaching the level. The unit of the inventory also can manage admin by
themselves. These features will help the
cafe to avoid inventory for the restaurant.
Sales
Report
The
system will generate the report daily, weekly monthly and yearly basis. The
sales report, customer report, food
report, etc. which will help the cafe to analyze data of the cafe. Report and analyze is the most
important thing for all kind of business for further plan and growth. This system is very helpful to
generate the reports off all activity of the
restaurant.
Billing
Customer
can pay bill with cash, card, and if they are regular customer or familiar
with cafe they can paid as credit (which
depends upon restaurant). While costumer come to the billing section this system will generate the
bills with details, which save time at the
counter and reduces the probability of error on calculation. Discount
can be apply, as group discount, general
discount, personal discount. Admin and billing admin can see all paid history and credit history on basis of the
selected date.

Customers
details
If the
customer is regular for the cafe he is familiar with the cafe they can be a
regular customer by creating an account
at the system. Based on sale with regular customer point of the customer will increase and will
receive some complimentary. The point and purchase history with the cafe can check from the
website of the cafe by customer. Which will help to build a good relationship between
customers and cafe

INFORMATION TECHNOLOGY
Information
Technologies are that support the design and development of information system. It is one of many which managers use
to cope with changes. Information
technologies being used in BLACK IN WHITE CAFE & BAR cafe are as
follows:
1. Closed
Circuit Television (CCTV):
CCTV is
also known as video surveillance. It is used in many organizations to observe
part of a process from a central control
room.. This cafe has got CCTV on every room which is always on during café hours. CCTV is usually
observed by MR. Ayush Giri to analyzed
the employees performance. According to him he observes behavior of
every employees, the way they conduct
themselves with corresponding customer. This also make customer feel secure, so the customer didn’t have to
worry, if any problems occurs like thief of
customer products or if any employees or any person did misbehave then
it can be sure who have done and can
give punishment or did something else against that problem. Also we came to know that before the adaptation of
this technology this café have to hire 2
employees for the security guard but now they don’t have to hire them
and paid salary for them and it is more
secure too.
2.
Biometric attendance machine:
A
biometric attendance is an electronic thumb print machine implemented for staff
and employees attendance record keeping.
There is compulsion for staff and employees to give thumb print for attendance. The collected
staff and employees attendance data is further
processed through AMS.

Facilities
of the café:
Online
order:
They also added one facility to make
more comfortable to the customer by offering online order facility which helps to save their
precious time and the delivery cost is not charge to them but they deliver the product nearby area
only. The payment is made through cash, online payment and credit facilities
for regular customer. A strength which this business will possess is the ability to change with
the times.
Bar
The
drinking and smoking facilities is handle by shiya, sanjay, kabita, Pradeep,
and suman 5 of them have a well
knowledge and experience how to deal the customers and how to serve them, they have work on bar for 1 years
and have ideas about new generations wants
and satisfaction. Inventory part is handling by MR.kartik Khatri
The
authority is in decentralized form. MRS. Kamala and Aruna are hired to clean
the café before the opening and after closing of café. And the café opens at
sharp 7:00 A.M and end at 11:00 P.M. This café also provide 40% off in occasion
like New Year, Christmas, and Valentine’s Day and so on. In that time also the
employees have to work for over time for this they can get extra payment of
over timing work.

ADVANTAGES
Good and
When our group member enter in that café to gather the information related
to ‘BLACK IN WHITE CAFE & BAR’ café
we found a lot of advantages or we can see a lot of facilities and they are listed below:-
1. Friendly environment.
2. Decoration of that café was like as
we are gone for picnic and we enjoying the nature. We can feel the positive
vibes in that café.
3. There is a different place/floor for
smoking and they have that licenses of that. 4. They also provide the facilities if a customer wants to make
some program like;
a. Birthday celebration
b. family dinner
c. Couple candle light dinner etc.
They
provide all facilities on that with impressive decoration and for decoration
they have own link for that through table management.
5. There is a facility of credit.
6. For customer entertainment there is
one TV to get time pass before your order came and the order is came in only 5
minutes this is the specialty of this café.
7. There is different place for parking
which was controlled by MR. Sohan Thapa.
8. They provide remaining food to
orphan child instead of throwing.

CONCLUSION AND FEEDBACK:
After
going through BLACK IN WHITE CAFE & BAR café it was really helpful for
our team members to know about IS and IT
required for service based organization. As we
found that the online order delivery is done only in nearby areas so the
customer away from BLACK IN WHITE CAFE
& BAR café may not enjoy the facilities .so we suggest to increase the delivery distance. After
investing we came to conclude that there must be implementation of IT and IS in an
organization.
